Nacka Municipality: The Journey towards a Digital Management System
Nacka municipality has previously carried out several different projects to achieve a qualitative Management System but did not find anything that felt sufficiently structured and that met their need to work with systematic improvements.
“We needed to review our processes and ways of working, identify and analyze risks. We thought we were working the same way but realized this was not the case. There was a plethora of different documents on different computers, and sometimes, you didn’t know which was the latest version. Therefore, we needed a single place where our processes and routines were available digitally,” says Lina Blombergsson, Deputy Director of Social and Elderly Affairs, who, together with Helena Lindenius, Head of the Quality and Support for the Elderly Unit, was responsible for the project.
Smoother Management with Digital Processes
The project has been run as two sub-projects, one of which focused on mapping and drawing processes together with 2c8. In contrast, the other focused on how quality management, planning, and follow-up should look together with Stratsys.
Through this work, management, main, and support processes have been identified. To map and draw their processes, employees used 2c8 Apps, and group managers and their employees mapped their respective processes. To succeed in anchoring process management in the organization, all processes have then been assigned a process manager.
“The tool has given managers a better understanding and knowledge of Quality Management and has simplified things for employees by linking support material and forms to each process. This, in turn, ensures that the citizens are treated well regardless of who handles the case and that we can always go back and see deviations in the handling,” says Helena Lindenius, who has seen several benefits with the software.
“Our staff are passionate about helping our citizens, and now citizens and committees can also gain insight into our quality work by participating in our quality plan and report,” continues Helena Lindenius.
Positive Feedback from Employees
The project was conducted in the fall of 2017. After the turn of the year, they presented a qualified Management System with 191 identified processes. Today, they have further expanded its use.
“The response from the employees has been exclusively positive. This time, we ran a short, intensive, and controlled project, which we believe is one of the reasons why we succeeded,” says Lina Blombergsson.
But she is careful to point out that it is a work in progress.
“You have to realize that you’re never done and that everyone is responsible for getting the process right,” says Lina Blombergsson.
