Ramirent: A Management System on a New Level
The work on the Management System started as a significant effort at the group level to build a common Management System. The processes that were developed were at a very detailed level. At that time, there was limited awareness and use in Sweden compared to other countries within the company. It was simply difficult to reach out with the work they were doing. A group decision was then taken in 2017 to only have common processes for level 1 and level 2 at an overall level. In 2018, Sweden began to draw up the processes for how they work today and collect/produce instructions, templates, and checklists to support the daily work.
“We were without a permanent HSEQ manager and brought in three full-time consultants to detail our processes. With the given conditions, this project did a fantastic job”, says Erik Lindén.
At the end of 2018, it was decided that each country would be responsible for its own ISO certification, and employees could choose which software they wanted to work in. At this time, Erik joined the company.
2c8 Apps to Support the Project
In 2019, Ramirent Sweden decided to evaluate which IT system to use in the project. Here, they chose to use 2c8 Apps for Process Mapping and Information Modeling and Centuri for Document Management. With 2c8 Apps, Ramirent was able to work up to a level where they got the overview they had previously lacked. With the help of inputs and outputs in the processes, everything became much more straightforward, and you had clear starting points to continue the work.
Success Factors in the Project
Erik says that the key success factors can be divided into two categories: the practical and beyond the practical. In Ramirent’s case, they needed a Management System, and they needed it fast. A practical success factor was having a clear mandate in the form of management. With the help of management, essential questions could be answered, such as whether to be certified or not. Management gave the project the pressure it needed. Another practical success factor was the software itself.
“In 2c8, we saw the potential that could help us reach the next level. The software would not limit us”, explains Erik.
Erik also mentions that the team responsible for the management system was a major practical success factor in the project.
In addition to the practicalities, other lessons were learned along the way. One of these was to work on simplification, especially in the various activity and process steps. However, this does not mean you should miss out on adding relevant information. The layer function in 2c8 Apps has made it possible to adapt the content to the recipient. Another tip Erik has is to use the opportunity to work live in the software.
“Try it out and delete what doesn’t work. You save so much time working live in the software”, says Erik.
