Västtrafik: 2c8 Apps Replaces Microsoft Visio

Previously, Västtrafik used Microsoft Visio to map and document its processes – which worked well for individual processes. Still, it lacked the overall picture and the links between the various maps. They started talking to colleagues and looking around at other software. In 2019, they decided to move from Microsoft Visio to 2c8 Apps. At the end of September 2019, 2c8 was implemented in the business, and the mission to use the software in the best way possible began for Västtrafik.

“We spent a lot of time thinking about how we would work with the software, manage and introduce new modelers, and get all the other people in the business on board”, says Eva.

A stakeholder analysis was initially conducted to obtain an overall picture of the organization’s needs. In parallel, a meta-model was developed, as well as descriptions of objects and guidelines for Västtrafik’s mapping method. Guides and instructions were also produced for employees to familiarize themselves with. A separate repository configuration and color profile were also created to make it easier for employees to obtain uniform maps.

The Launch of the first Material

The first processes Västtrafik modeled in 2c8 were based on previous material in Visio. The ambition was to go live with 2c8 in April 2020, but due to Covid, the first material was published in May. The first publication consisted of a limited number of processes, which were then gradually added to.

“From May 2020 onwards, we have been fully focused on getting all the modelers up and running and training them on how we want to draw our processes. We have also had general introductions to the business maps for the employees”, Eva explains.

Today, Västtrafik has around 60 users of 2c8 Apps. Almost all employees have been involved in introducing the activity maps.

An Ongoing Work

Work on the Management System is progressing, and Västtrafik is working continuously to develop and improve the processes for modeling and managing users, but also to develop the actual content of 2c8.

“We emphasize that it is the employees who own their process documentation and that it has two purposes: firstly, that the employees should use it as a support in everyday work-life, and secondly, as an important basis when you want to develop and improve”, concludes Eva.
